Feature of the month - Custom Entities
FEATURE OF THE MONTH
- Custom Entities -
Why is this feature cool?
- Custom entities can be added to Microsoft CRM version 3.0.
- You can determine if that entity will appear in Outlook when offline.
- You can associate Notes and Activities.
- You can choose where the entity will be displayed in the application.
- You can define relationships to other system and custom entities.
When could this be used?
You own a property management company that rents apartments all over New York City. You can create an apartment entity to track information about each of your apartment buildings. Your tenants could be another custom entity.
How do I access this feature?
Click Settings, click Customization, click Customize Entities, and then click New.
What does it look like?

I created a new entity (PROJECTS) that relates to the Account. Is it possible to track e-mails to related to the Projects, or will they only show up in History under the Account? We will have one Account with Many Projects.
This is my first time working with CRM - I'd appreciate any help I can get.
Thank you,
MartyAnonymous

Hi Marty,
I will look into this matter. If i think quickly about it you can associate notes and activities (which is also an email) to custom entities. It will be shown in the activity list of the project and account. But as i said i will test it. Good Question!Anonymous

Can you create a lookup field in the account entity for this new entity? More over, can you associate many custom entity records to one account (the way you can associate many recipients to a single e-mail)?Anonymous

Hi Noel,
You can achieve this by following the Microsoft CRM SDK Kit. It explains you can use the CRM webservice for this. Easy stuff for a CRM developer and takes a few hours. http://msdn.microsoft.com/library/default.asp?url=/library/en-us/CrmSdk3_0/htm/v3d0microsoftcrmv3d0sdk.aspAnonymous

Sorry to be negative, but one thing thats cropped up for me that really limits Custom Entities is that you can't email to them.
So 'your tenants could be another custom entity' becomes a tricky proposition - as your ruling out the ability to email your Tenants. You'd want to use Contacts or Leads, as these been standard system entities and hence are emailable.
This has caught me by surprise and left me in a bit of a bind, so probably worth been aware of.Anonymous

Ian, the error you are getting is coming from SQL Server, if you run a Profiler trace and recreate the error you will see the following error:
"The incoming tabular data stream (TDS) remote procedure call (RPC) protocol stream is incorrect. Too many parameters were provided in this RPC request. The maximum is 2100."
So, it is not a CRM limitation but a SQL one. If you have picklists with a huge number of items in then you should consider using a lookup to a custom entity rather than a picklist. This will improve performance (won't have to load all picklist values at form load), maintenance (customisation not required to maintain the list) and finally the user experience (user will be able to search the list in the lookup dialog rather than scrolling through a huge picklist).
Of course, if you use a custom entity then you may need to write a small CRM SDK app to import the data into it.

Hi can any one tell me how to modify "entity Navigation Pan" in CRM 3.0. When i create a new relationship between a custom entity and "Account" or "Opportunity" entity it automatically adds the entity on the Account or Opportunity navigation pan. How can I remove that. Any time I create a relationship to create a lookup field, it adds the custom entity to the Entity Navigation Pan. ThanksAnonymous
