How to: Refund Credit Card Payments

If a customer wants to return an item or if you have to correct an incorrect invoice, then you have to refund a withdrawn payment. You can then refund the money to the credit card.

You can either make a refund from the sales credit memo or from the cash receipt journal. A sales credit memo refund is unlinked and has no parent transaction. The cash receipt journal refund is linked and has a parent transaction that is linked both in Microsoft Dynamics NAV and in Payment Services. You can track a linked transaction in the Transaction Log Entry window.

To make a linked transaction from the cash receipt journal, you have to know the credit card number to refund the payment and make sure that the invoice and payment entries are unapplied in the cash receipt journal. This section describes the unlinked sales credit memo refund.

To refund credit card payments using the sales credit memo

  1. In the Search box, enter Sales Credit Memos, and then choose the related link.

  2. On the Home tab, in the New group, choose New to create a new sales credit memo. Fill in the information on the customer owed the refund.

  3. On the Invoicing FastTab, set the Payment Method Code to Credit Card.

  4. Set the Credit Card No. field to the credit card number to refund the payment to.

  5. On the Foreign Trade FastTab, set the Currency Code field to the correct currency.

  6. Enter the credit memo lines.

  7. On the Home tab, choose Post to post the sales credit memo. The amount is refunded to the customer credit card.
