How to: Request Approval of Documents

When a document (a quote, an order, a blanket order, an invoice, a return order, or a credit memo) that you have created needs to be approved by someone in your organization, you send an approval request. Based on how the system is set up, the request will go to the appropriate person to approve the request.

To send an approval request

  • In the relevant document, on the Actions tab, in the Functions group, choose Send Approval Request.

The status for the approval entry is updated from Created to Open. The document's status is updated from Open to Pending Approval. In the Pending Approval status, the document is locked until all approvers have approved the document.

Based on the approval workflow setup, Microsoft Dynamics NAV identifies the approvers and the sequence in which they receive the documents for approval. It then creates an entry in the Approval Request Entries window for each document that is awaiting approval. You can set up the process to send an e-mail to the approver, notifying them that a document is awaiting their approval.

After the approver has reviewed the order document and then approved it, the status of the order is set to Released. You can now post the document and continue with your company’s order processing workflow.

Tip

  • To see all your approval requests, open the Approval Request Entries window.

  • To see the specific document you sent for approval, select the document in the Approval Entries window, and on the Navigate tab, in the Show group, choose Document.
