Desktop Viewer interface

The following interactive components, navigation features, and menu commands appear on the Desktop Viewer interface.

  • The report library

  • Fact pane

The report library

Desktop Viewer contains the report library, which stores all versions of the reports that have Management Reporter selected as the output type. For more information about output types, see Output and Distribution tab settings.

The structure of the report library is always visible in the navigation pane, and you can examine the content of all folders. However, throughout the report library you can view only the reports and external files to which you have View permission. For more information about report library permissions, see Set up and manage report library security.

Fact pane

The Fact pane appears to the right of the view pane when you have opened a report in Desktop Viewer. It displays the comments that are in the report and any charts that you have created from the report data.

To hide or display the Fact pane, on the View menu, click Fact Pane. If the Fact pane is hidden and you add a comment to a report row, the Fact pane is displayed. To expand or collapse the fact pane, click the arrow in the upper-right corner. To change the width of the pane, select the split bar on the left side of the pane.

Comments in the report are shown at the top of the Fact pane. You can use the scroll buttons to scroll through the comments, or you can click a comment, and then use the arrow keys to move through them. You can add or delete a comment using the icons in the Comment toolbar. For more information about comments, see Add a comment to a report in Desktop Viewer.

Charts that you have created from the content of the report are listed under the comments in the Fact pane. Click on a chart title to view it in the Fact pane, and double-click a chart to open it in a new window. For more information about how to create charts, see Create a chart in Desktop Viewer.

Interactive components and navigation features

The following features let you perform actions or navigate within Desktop Viewer.

Component

Description

Quick charts

Create a chart from selected rows or columns of data in a report. You can paste the chart into a PowerPoint slide, save the chart for future use, or copy and paste it into an email message to send to a coworker. For more information about charts, see Create a chart in Desktop Viewer.

Add comments

All users can create and modify their own comments and respond to another user’s comment in a report. Administrators and designers can delete any comments. For more information about how to use comments, see Add a comment to a report in Desktop Viewer.

Find

To quickly locate a term in a report, click Find on the Find menu. A search pane opens above the report. Type the term that you want to locate. Click Options to specify Match whole word only or Match case. Click Next. The line in the report that contains the term is highlighted with a box around it.

Go To

You can move to a specific line of key data in a report. The Go To pane is located at the bottom of the report view pane. You can also access Go To from the Find menu. Click Go To and select a line of the report from the menu. The page of the report that has that line on it is displayed in the view pane. To show or hide the Go To pane, select View, and then click Go To Pane.

Paging buttons

Use the report page navigation buttons to navigate between pages of the report or move to the first or last page of the report. The paging buttons are located in the Go To pane at the bottom of the report view pane.

Send an instant message

Use Microsoft Lync to send an instant message to a coworker when you are viewing a report. To start an instant message dialog, right-click a line in a report and select Send an Instant Message.

Drill Down in Management Reporter

Some reports contain detailed information that you can view by drilling down into the report. To determine whether a report has detailed information, move the pointer over the report rows. A hyperlink appears when the row contains a detailed report. Double-click the row to view the detailed report.

To see more information about a line in a report, you can use one of the following procedures from the account level in a report:

  • Click Drill down in the toolbar.

  • Select a line of the report, and on the View menu, click Drill Down.

Drill to Dynamics

To see information beyond the Management Reporter transaction level, you can drill down in the Microsoft Dynamics ERP system. Your pointer must be at the account level of a report for this option to be active.

Desktop Viewer menu commands

The following information describes menu selections that are available when you view reports in Desktop Viewer:

  • File menu

  • Edit menu

  • View menu

  • Find menu

  • Tools menu

  • Window menu

  • Help menu

File menu

The following table describes the File menu commands in Desktop Viewer.

File menu command

Description

New Folder

Creates a new folder in the current report library location. The user must have Create permission to use this option.

Open Selected Item > In Current Window

Opens the selected report in Desktop Viewer.

Open Selected Item > In New Window

Opens the selected report in a new instance of Desktop Viewer.

Close View

Closes the current report view.

Close Report

Closes the current report, which includes all tree nodes and report views.

Close All

Closes all reports, which includes all tree nodes and report definition views.

Page Setup

Displays the Page Setup dialog box for specifying the page setup for the reports that are viewed during the current Management Reporter session.

Print

Displays the Print dialog box for printing the current report.

Export > Microsoft Excel (.xlsx)

Exports the current report to an Excel (.xlsx) file. Available to designers, administrators, and generators.

Export > XPS

Exports the current report to a XPS (.xps) file. Available to designers, generators and administrators.

Send an Instant Message

Send an instant message using Microsoft Lync 2010.

To use this feature, you must have Microsoft Lync 2010 or later versions installed on your computer.

Send Link Using E-mail

Opens a new email window that contains a link to the report in the Management Reporter report library. This link can be opened in Desktop Viewer, as a Microsoft Excel worksheet, or as an .xps file.

Exit

Closes all open reports and exits Desktop Viewer.

Edit menu

The following table describes the Edit menu commands in Desktop Viewer.

Copy Comments

Places a link to the comments in the report on the clipboard to be pasted into other applications.

Copy Link

Places a link to the report in the Management Reporter report library on the clipboard to be pasted into other applications.

Delete

Deletes the selected report library item. This is available to any user who has View and Delete permissions for the item being deleted.

Move

Moves the selected report library item. This is available to any user who has View and Delete permissions for the item being moved and Create permissions for the folder to receive the item.

Rename

Renames the selected report library item. This is available to any user who has View and Edit permissions for the item being renamed.

Find menu

The following table describes the Find menu commands in Desktop Viewer.

Opens the Find toolbar that is above the report.

Go To

Displays the selected row in the report.

Insert menu

The following table describes the Insert menu commands in Desktop Viewer.

Description

External File

Opens the Insert External File dialog box. You can type a file name or search for a file to insert.

Quick Chart

Creates a chart to quickly view data in the selected row or column of a report. For more information, see Create a chart in Desktop Viewer.

Comment

Adds a comment to the selected cell, row, or column of a report. For more information, see Add a comment to a report in Desktop Viewer.

View menu

The following table describes the View menu commands in Desktop Viewer.

Description

Report Library

Displays the report library in the display pane.

Report Data

Displays the report data in the display pane.

Navigate Back

Displays the previously viewed report or report library location.

Navigate Forward

Displays the next viewed report or report library location.

Drill Down

Drills down into the next level of detail in Management Reporter.

This command is available when you view financial detail or account detail and the report includes supporting data.

Drill to Dynamics

Drill down into the Microsoft Dynamics ERP system. This command is available when you view account detail, and the report includes supporting data.

Duplicate Accounts

Opens an exception report, which shows the financial data account balances that were not duplicated in the financial report. This option is not available if there is no exception report or if you are currently viewing an exception report about duplicate accounts.

Dimension Descriptions

Displays the dimension descriptions in addition to the dimension values that apply to each row in a report. For financial reports, the fully-qualified account is displayed. For example, +Account = [110140], Department = [070], Cost Center = [0101]. For other types of reports, the concise codes are displayed.

Refresh

Refreshes the report library to show the current data.

Navigation Pane

Displays or hides the navigation pane.

Status Bar

Displays or hides the status bar at the bottom of the screen.

Go To Pane

Displays the Go To pane at the bottom of the display pane, which includes Quick Links, page number field, and page navigation buttons.

Fact Pane

Displays the Fact Pane on the right side of Desktop Viewer in the Report Data tab only. The Fact Pane displays comments for the active report row and charts.

Toolbar

Displays or hides the standard toolbar.

Toolbar Icons

Changes the toolbar icon size to be large or small.

Lock Toolbar

Locks the toolbar to prevent changes.

Reset Toolbar

Resets the toolbar to the default options.

Zoom

Selects zoom options that are based on a percentage, a page, or a custom zoom level. In addition, you can use the slider at the bottom of the report window to zoom in and out of a report.

Show Versions

Shows all report versions. If you have Create, Edit, and Delete permissions, you can also move, rename, and delete report versions by using the Show Versions dialog box.

Tools menu

The following table describes the Tools menu commands in Desktop Viewer.

Connection

Opens the Connection dialog box. From here, you can connect to a server or test the connection.

Report Library Permissions

Modifies the security for a report library item. For example, you can change View, Edit, Create, and Delete permissions for a library item. This option is available to Management Reporter administrators.

Options

Configures basic options for viewing reports in Management Reporter, such as startup behavior and default file locations.

Window menu

In Desktop Viewer, the Window menu displays a list of open report windows. The most recently accessed reports are listed first.

Help menu

The following table describes the Help menu commands in Desktop Viewer.

About Management Reporter

Displays the release information about the application.
