Configure Users for Archiving

After installing Archiving Server, you must specify the users for which you want to archive instant messaging (IM) message content. You can archive the IM messages of all users, or you can limit archiving to specific users. When you change a user's archiving settings, the changes do not take effect until one of the following events occurs:
The user signs out and back in.
User registration is refreshed. By default, registration is refreshed every ten minutes for external users and every two hours for internal users.
Note
Global archiving settings, including those for internal conversations and federated conversations, do not apply to group instant messaging conversations.
When you configure archiving for all users at the global level, the archiving settings at the user level are not configurable. If you want to implement archiving for some but not all, users, you must configure archiving settings for each user.
To archive IM messages for all users
Log on as a member of the RTCUniversalUserAdmins group to a server that has the Office Communications Server administrative tools and that is located in the same forest as the Archiving Server.
Click Start, click Control Panel, click Administrative Tools, and then click Office Communications Server 2007 R2.
In the Office Communications Server 2007 R2 snap-in, right-click the Forest node, point to Properties, and then click Global Properties.
Click the Archiving tab.
Under Internal communications and also under Federated communications, verify that Archive for all users is selected, and then click OK.
To archive traffic for selected users
Log on as a member of the RTCUniversalUserAdmins group to a server that has the Office Communications Server administrative tools and that is located in the same forest as the Archiving Server.
Click Start, click Control Panel, click Administrative Tools, and then click Office Communications Server 2007 R2.
In the Office Communications Server 2007 R2 snap-in, right-click the Forest node, point to Properties, and then click Global Properties.
Click the Archiving tab.
If you want to archive conversations for a specific user or group of users that are inside your organization's network, under Internal communications, verify that the Archive according to user settings check box is selected.
If you want to also archive conversations for a specific user or group of users whenever that user communicates with a user of a federated network, under Federated communications, verify that the Archive according to user settings check box is selected, and then click OK to close the properties page for the forest.
In the scope pane, expand the pool of the user or group of users that you want to configure for archiving, and then click Users.
Right-click the users whose messages you want to archive, and then click Configure Users.
On the Welcome page, click Next.
On the Configure User Settings page, do the following:
- To archive messages that are sent and received within your network, select the Archive internal messages check box, and then click Enable.
- To archive messages that are sent from users within your network to federated users, select the Archive federated messages check box, and then click Enable.
When you are finished, click Next.
Click Next, click Next again and then click Next once more to advance to the Configure Operation Status page.
On the Configure Operation Status page, verify that the operation succeeded, and then click Finish.
Note
Per-user settings do not affect the archiving of multiparty IM conferences. If you do not want to archive any message content during multiparty IM conversations, turn off archiving on every pool in the deployment.
