Update a quotation

When you have created a quotation, you can select the update action that you want to perform on the quotation.

Send quotation

Any quotation with the status of Created can be sent to the prospect for confirmation. You can either send it directly by using e-mail, or you can print it out and send it by mail.

  1. Click Sales and marketing > Common > Sales quotations > All quotations.

  2. Select the quotation that you want to send to the prospect.

  3. On the Quotation tab, in the Generate group, click Send quotation to open the Send quotation form.

  4. In the Send quotation form, click the Options button to select whether you want the quotation sent to Screen, E-mail, File, Print archive, or Printer.

  5. Click OK to accept the update and change the quotation status to Sent.

Confirm quotation

You can confirm any quotation with the status of Created.

  1. Click Sales and marketing > Common > Sales quotations > All quotations.

  2. Select the quotation that has been accepted and confirmed by the prospect.

  3. On the Follow up tab, in the Generate group, click Confirm to open the Confirm quotation form.

  4. In the Confirm quotation form, select the Print confirmation check box if you want to print the quotation.

  5. Click OK to accept the update and change the quotation status to Confirmed.

    The quotation is now converted to a sales order. Use the sales order form for additional processing.

Lose quotation

You can update the status of all Sent quotations to Lost, if you have lost the quotations.

  1. Click Sales and marketing > Common > Sales quotations > All quotations.

  2. Select the quotation that you want to register as lost.

  3. On the Follow up tab, in the Generate group, click Lost quotation to open the Lose quotation form.

  4. In the Reason lost or canceled field, select from the drop-down list the reason that the quotation was lost.

  5. Click OK to accept the update. The system then sets the quotation status to Lost.

Cancel quotation

Any quotation with the status of Sent can be canceled.

  1. Click Sales and marketing > Common > Sales quotations > All quotations.

  2. Select the quotation that you want to cancel.

  3. On the Follow up tab, in the Generate group, click Cancel to open the Cancel quotation form.

  4. In the Reason lost or canceled field, select the reason that the quotation was canceled from the drop-down list.

  5. Click OK to accept the update and change the quotation status to Canceled.
