Add delegates

You can use the Expense report delegates page to set up other users as delegates who can create and submit expense reports, travel requisitions, and credit card disputes on your behalf.

Depending on your role or the privileges that are assigned to you, you might need to go to your Employee services site before you complete the procedures in this topic.

The procedure for completing this task was changed for Microsoft Dynamics AX 2012 R2. The updated procedure also applies to AX 2012 R3. For more information, see the section later in this topic.

  1. Click Expenses on the top link bar, and then click Expense reports, Cash advance requests, or Credit card disputes on the Quick Launch.

  2. On the Action Pane, in the Entry group, click Delegate.

  3. Click Add, select the worker who will act on your behalf, and then click OK.

  4. Enter the start date and end date for the time period when the delegate will act on your behalf, and then click Save and close. If you want the delegate to act on your behalf indefinitely, leave the End date field blank.

    Note

    You can assign more than one delegate for a specific time period.

  5. To add more delegates, repeat steps 3 and 4 for each delegate.

  6. To remove a delegate, select the delegate, and then click Remove.

  7. Click Save and close to save your changes.

Add delegates in Microsoft Dynamics AX 2012 R2

Add expense entry delegates

  1. Click Expenses on the top link bar, and then click Expense entry delegates on the Quick Launch.

  2. On the Action Pane, click Delegate.

  3. On the New expense entry delegate page, in the Delegate field, select the user who will enter expenses on your behalf.

  4. Enter the start date and start time for when the user can enter expenses on your behalf, and enter the date and time when the delegation will end.

  5. Click Save and close.

Add expense approval delegates

  1. Click Expenses on the top link bar, and then click Expense approval delegates on the Quick Launch.

  2. On the Action Pane, click Delegation.

  3. On the New delegation page, in the Delegate field, select the user who will approve expenses on your behalf.

  4. Enter the start date and start time for when the user can approve expense reports on your behalf, and enter the date and time when the approval delegation will end.

  5. Ensure that the Enabled field is set to Yes, add any comments, and then click Save and close.
