Add Product Line Items for a Quote in Word Mail Merge using "Print Quote for Customer" button
Setting up a mail merge for a Quote in CRM can be tricky because the mail merge interprets each product line item within a quote as a new record. The result is that users may try to create a mail merge quote but are only able to add one of many product line items.
With a little bit of insight into how mail merge works you can add all product line items to one Quote document. Here's how to do it:
- Create your mail merge template for Associated Entity = Quote
- In your Word template, go to the Mailings tab and click Insert Merge Fields into your Word document for the products in your quote, e.g. <<Quote_Product_Product>>
- For the next line item, in the Mailings tab, go to Rules and click <<Next Record>>, then select the same field in your prior row for product line item: <<Quote_Product_Product>>. Repeat for the number of desired line item rows.
- The final product after the merge should look like this:

Hi Laura, Is there a limit of how many <<Next Record>> rules you can insert if using multi column view and say inserting 6 <<Next Record>> in each column? Thanks SandeepAnonymous

Seems to be a problem when adding >5 <<Next Record>> rules. The problem is that no Merge Fields work past the 5th <<Next Record>> .Anonymous

The problem I have with this is the <<Total Amount>>. It appears the "core" record information such as total amount, tax amount, etc. are on the 1st record. When you iterate over the subsequent records in your table rows, there is no way to return "home" to the 1st record to retrieve this information. Anyone have any thoughts on that?Anonymous

You can not have the same or more "NeXT record" than you have products. Then this issue happens. If you have 2 products, you can only have 1 "NeXT" on the form. You can not use the template set up for 6 products with only 4 products, the you have to delete the last product lines in the quote template. So for example, if you want to print a quote with 4 products, there should be 3 NeXT record rules present, and mail merge should also Work after the products. And you can have the sum in the end of the document.Anonymous
