Create functional locations

You can use functional locations in Asset Management in several ways. For example, you can use functional locations to help:

  • Manage several assets that are similar and have similar behavior.
  • Manage process-related functional locations that work with workflow.
  • Represent geographical locations or sites within your company.

Before creating functional locations, you should understand their core concepts and functionality. The main tasks that you can perform with functional locations includes:

  • Track active requests and work orders that are related to installed assets.
  • Set up maintenance sequences for preventative and reactive maintenance.
  • Manage your installed assets.
  • Track faults that are registered on specific assets.
  • Track costs for maintenance on assets that are related to a functional location at any given time.
  • Set up functional location and asset specification requirements.

When you set up and use functional locations in the application, it is important to understand that each functional location is managed independently in Asset Management. To set up functional locations, you will use the All functional locations page.

Create a default functional location

You should set up a location that is used as the default when you create a new asset. Because this location is the default, the functional location can be changed by the user if needed.

Follow these steps to create a default functional location:

  1. Go to Asset management > Functional locations > All functional locations.
  2. On the All functional locations page, select New on the Action Pane.
  3. Specify the Functional location, which is the functional location identification, so it should be a unique ID. You can use number sequences in the application to automatically assign an ID based on a numbering scheme that your organization defines. For example, a scheme for the functional location ID might be LOC-##-012.

Note

Number sequences are created and maintained in Organization administration > Number sequences > Number sequences.

  1. Enter a name in the Name field. For this example, the name can be Default Location.
  2. Specify the Parent for the functional location. You can specify a default parent on the Asset management parameter page, or you can select a Parent location from the drop-down menu. This location can also be considered as a sub location in a structure.
  3. Select a Functional location type from the drop-down menu. The Functional location type field is required.
  4. Select OK to create the new functional location.

If you are creating several functional locations that are similar, you can use the Copy functional location structure feature to copy the base settings and then modify the functional location as needed. To copy a functional location structure, follow these steps:

  1. Go to Asset Management > Functional locations > All functional locations.
  2. On the All functional locations list page, select the functional location that you want to copy by selecting the check box next to the record, and then select Copy functional location structure in the New group on the Action Pane. The Copy functional location structure page will display.
  3. Specify the New functional location name and Parent to paste under.
  4. Select OK.
