Determine license requirements for Microsoft Teams Rooms and shared devices
Every Microsoft Teams Room needs a license assigned to the associated resource account. Microsoft offers three types of licenses for these accounts: Microsoft Teams Rooms Basic, Microsoft Teams Rooms Pro, and Microsoft Teams Shared Devices.
The following sections break down the different licenses that can be used with Microsoft Teams Rooms and Teams Shared Devices (Panels, Display, Common Area Phones). The licenses differ by use case scenario and available features.
Microsoft Teams Rooms Basic
The Microsoft Teams Rooms Basic license is designed for the core features of a Microsoft Teams Room without additional costs. Out-of-the-box, the Microsoft Teams Rooms Basic license allows you to schedule and join meetings, share your content during meetings, and use the integrated Microsoft Whiteboard application. Your system is secured with basic security and management capabilities.
Your organization can use Teams Room Basic licenses for up to 25 devices. Each additional Teams Room device needs to have a Teams Rooms Pro license assigned, regardless of desired functionality. The Microsoft Teams Rooms Basic license includes the following service plan details:
Microsoft 365 Audio Conferencing
Microsoft Teams
Whiteboard (Plan 3)
Microsoft Teams Room Pro
When using the Microsoft Teams Room Pro license, users in your organization can take advantage of all the features included in the Teams Rooms Basic license, plus more advanced in-room meeting features. With enhanced functionalities like front row, dual screen, intelligent audio and speakers, end-users in your organization experience Microsoft Teams Rooms as a powerful and collaborative smart workplace that enables seamless communication, effective collaboration, and improved productivity. With the front-row view, users can easily see and interact with content, while the dual-screen feature allows them to simultaneously view presenters and participate in discussions. The intelligent audio and speakers ensure crystal-clear sound quality, making it easy for participants to hear and be heard during meetings.
In addition, the Teams Rooms Pro license adds the Microsoft Teams Rooms Pro Management Portal for remote device management, advanced device analytics, and allows the devices to be used with Microsoft Entra Conditional Access policies.
The Microsoft Teams Rooms Pro license is designed for medium and enterprise organizations, with more meeting rooms or advanced collaboration and communications needs. You can use the Teams Rooms Pro license on any Microsoft Teams Room or Teams Panel.
The Microsoft Teams Rooms Pro license includes the following service plan details:
Microsoft Entra ID P1
Microsoft 365 Audio Conferencing
Microsoft Teams Phone Standard
Microsoft Intune Plan 1
Microsoft Teams
Microsoft Teams Rooms Pro Management
Whiteboard (Plan 3)
Microsoft Teams shared devices
The Microsoft Teams Shared Devices add-on license allows offices to designate devices as shared devices, including common area phones, Teams displays for hot-desks, Teams panels for meeting spaces, and Android phones through the Teams mobile app. With this license, common area phones have the ability to join audio conferences via a dial-in number provided by the meeting organizer.
The Microsoft Teams Shared Devices license includes the following service plan details:
Microsoft Entra ID P1
Exchange Online
Microsoft Teams Phone Standard
Microsoft Intune Plan 1
Microsoft Teams
For Teams Panels where no other meeting room hardware is connected, the Microsoft Teams Shared Device license costs much less than the Teams Rooms Pro license and could help save money.
Microsoft Teams Rooms license comparison
The following table describes the differences for Teams Room licenses.
Note
The Teams Shared Device license is not comparable to any Teams Rooms license, because it follows another use case. The Teams Shared Devices license is intended for organizations that want to provide specialized devices such as common area phones, Teams displays, or meeting room displays. With this license, you can directly connect these devices to Microsoft Teams and allow users to access their Teams resources. These devices are typically stationary and cannot be moved by users.
