Procurement of work order purchase requisitions

Any work order can have parts or supplies that need to be purchased to complete the work. Asset Management allows you to link any purchase requisition or purchase order through the project.

For example, you might have an air compressor that needs a new air filter that you do not currently have in stock to replace. You can create a purchase requisition to purchase the air filter that you need for the air compressor.

When you create a purchase requisition in Procurement and sourcing > Purchase requisitions > All purchase requisitions, you can add the project information on the Create purchase requisition dialog page. To specify the project, select the Buying legal entity from the drop-down menu and then specify the project that the purchase requisition is for by using the Project ID drop-down menu. To view purchase requisitions that are related to work orders, you can use the Work order purchase requisition page. When you go to Asset management > Procurement > Work order purchase requisition, you can see a requisition that was created for a project. You can also see where to view the specific work order or requisition.

Viewing purchase orders is the same process as viewing purchase requisitions.

Accounts payable > Purchase orders > All purchase orders

You can also see the purchase order from the Work order purchase page by going to Asset Management > Procurement > Work order purchase.

In both cases, these documents will also appear on the Project details page in Project management and accounting.

Create a purchase order from a work order

Scenario: one of your air compressors needs a new air filter, but you currently don’t have any filters in stock. From the All work orders page and work order job, you can create a related purchase order or purchase requisition.

  1. Go to Asset management > Work orders > All work orders or Active work orders, select the work order where you need to add a purchase order, and then select Edit.
  2. On the Work order maintenance jobs FastTab, select the work order job where you need to create the purchase order.
  3. From the Item tasks drop-down menu, select Purchase order from work order job.
  4. On the Project purchase orders page, select New to create the purchase order.

Project relation between work order and purchase order or purchase requisition

A project can be associated with a work order and, when that happens, an activity number is automatically created whenever a maintenance job is added.

When you create a purchase order, the activity is automatically updated and serves as the relation between the purchase order and the work order.
