Getting Windows Mobile to work with Outlook Contact Sub Folders (Outlook PCS)

A common request from customers is the ability to sync Contact List Subfolders.  The problem is that Windows Mobile will only sync the Default Contact Folder so if you've gone to lengths to setup other folders with contact information you may have an issue.  Well the issue can be remidied by doing the following:

In the folling article we will be setting up an empty Default Contact List folder and Subfolders with all your contacts, then we will be using Outlook PCS to sync your choosen Sub Folders to your Default Folder this way you still have your contacts seperated in subfolders but they are all syncing to your default Contact list folder.

Obtaining and Installing Outlook PCS

1. Install Outlook PCS, it currectly works with Outlook 2000, 2002 and 2003.

If you are using Outlook 2003 you will have a problem, do the folloing:

  1. Open the Registry - Click Start -> Run and type:
    regedit
  2. Browse to the following location. You wouldn't have the keys after "Office", therefore you will need to add them.
    HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Office\10.0\Common\InstallRoot
    And add a String Value under this Key called "Path" with its Value data reading as "C:\Program Files\Microsoft Office\Office10\"
    If you are not comfortable doing the registry editing yourself, download the registry file and execute it. This will add the required entries.
  3. Run the Add-in Setup again and you should be able to install Outlook PCS on your computer without any problems.

2. Restart Outlook

3. Please un-cradle the device, if connected

4. Now Outlook PCS will be installed and you can begin.

Setting up Outlook to work with Outlook PCS

1. Go to Outlook Contacts and create a new Contact Subfolder called Default or Original (Something to remind you that this contains your original set of  contacts)

2. Move all your Contacts from your Default Contact folder to the new folder you created (This should leave you with an empty Default contact folder)

3. Now Right Click on one of the Sub Folders and go to properties, Find the Outlook PCS TAB.  You should see the following:

4. Check this Option and Click OK

5. Run Outlook PCS

You will now see that all the contacts in the subfolder you selected synced to the Default subfolder.  If you edit any of these entries and sync again they will be updated in your default contact list which syncs with Windows Mobile.
