What is new with Exchange 2010 UM?

We have a green light to talk about some of the upcoming Exchange 2010 features in more depth now.  Greg did an OWA post and this one is about UM.

 

Has the UM architecture changed?

No, it is the same. As you see above, the architecture for Exchange 2010 UM is the same as Exchange 2007 UM. You have your UM role connecting to either directly via SIP to the PBX or via a SIP gateway.

 

What’s new in UM administration?

With the new Role Based Access Control (RBAC) there are new UM roles:

-UM Administrator

-Administer any and all UM functionality

-UM Recipient Administrator

-Provision UM mailbox, PIN reset, clear lockout

-UM Prompt Administrator

-Update Dial Plan and/or Auto Attendant prompts

You can also create any type of custom UM admin role that might be needed.

 

Any new voicemail codec support?

Yes, we now have MP3 support. This is good news for schools with lots of iPhones and Blackberries.

Do you have Personal auto attendant capabilities?

Yes, you can have find me and custom attendants. You can also setup conditional rules such as if I am set to Out of Office play this set of menus, if I am at Work play this set, etc.

 

What about my red lamp or Message Waiting Indicator (MWI)?

Yes, we now have MWI native within Exchange 2010.

You can also do SMS notification when a voicemail arrives.

In Exchange 2007, many education customers who deployed UM at first thought the red lamp was critical to deployment but after initial pilots it was noted that the majority of folks check their inbox well before they check their phone.  That being said, it is nice for your die hard phone end users you can provide them MWI out of the box now.

 

Do you have Voice to text transcription?

Yes, Exchange 2010 now has the ability to transcribe an audio voicemail into text as part of the body of the voicemail now. It is slated to be around 75% accurate for English.

You may say that doesn’t sound very valuable but I really like this feature for two reasons:

1) You can preview voicemails while in a meeting

2) You can preview the voicemail on your phone when in a noisy location

 

What are some other UM enhancements I should know about?

  • CallerID lookup improvements (CLid)
  • Personal call answering rules (If then logic, time of day, etc)
  • Information Rights Management support (requires RMS) – encrypted VMs, confidential, callers can mark VM as private)

  • Voice cards

The ability to play the VM right from your Windows Mobile client without having to download the voicemail attachment, double click it, etc.

 

 

What about hosted Voicemail in the cloud?

Yes, Exchange 2010 will support hosted UM in the cloud. If the decision is to move your faculty and staff to BPOS/Exchange Online you can also get voicemail in the cloud.

    Hi Kathy, No co-existence with internal mail servers are required. This is coming with the next release of Exchange Online (our hosted offering).

    I would imagine the same fax vendors that work with Exchange 2007 are working on Exchange 2010. Your best bet would be to ping them directly. See a list here: http://www.microsoft.com/exchange/2007/partners/2007/other.mspx

    To enable mark voicemail as private or protect the VM from being printed, forwarded, etc. it will require Active Directory Rights Management Services to protect the voicemails. You can also set it via UM Policy so you can only hear the VM via PlayOnPhone (no voice attachment or transcription). You can either license AD RMS as standalone cal or as part of the Ecal suite.     Rightfax , now Open Text fax server ofcourse supports UM 2010, and even the gateways already bought.  please see this blog and video on how we can provide both inbound and outbound fax.

    Began, When you say "Microsoft is misleading" please elaborate. The data the Exchange product team found showed around 5% of all Exchange UM customers use inbound fax and the number one reason cited for lack of adoption was either they already had a 3rd party Exchange fax solution or they wanted outbound faxing as well. I don't have anymore insight into their decision process to deprecate the feature beyond that. I hope you understand every product team in any company has to weigh where to spend their development efforts such as critical feature needs (MWI, etc) vs radically expanding upon on low feature use features. Post on the Exchange product teams blog your thoughts.

    Inbound FOIP (Fax over IP) has been deprecated in this release of UM. Most customers really wanted outbound faxing as well and that was only offered via 3rd party fax solutions which the majority of our customers used. That being said, we do have integration hooks in Exchange UM 2010 to detect the fax tone and hand off the inbound fax to a 3rd party fax partner for inbound and outbound faxing with Exchange.

    We have used Captaris Right Fax which is now called OpenText. http://www.captaris.com/rightfax/index.html It does support Excahgne 2007 SP1. I don't know about Exchange 2010. It is extremely dissapointing to me that Microsoft is not going to support this natively. I was hoping to move off of the combined Avaya Modular Messaging/ right Fax combination for a clean Microsoft UM implementation. I may do UM/ Right fax now since (Finally) Microsoft natively supports the Message Waiting Indicator (MWI) light. But, that means I have to upgrade to 2010 and will probably have to upgrade to MM 5 before that as version 3 is going to be depricated soon. Why can't Microsoft deliver a simple solution and an update to UM for Exchange 2007 giving us MWI. Without that, I will probably have to wholly skip UM for MM.

    The deprecation of inbound fax in exchange 2010 is extremely disappointing.  Microsoft's comments that "most customers really wanted outbound faxing as well" are misleading, I think.  I would guess most shops have a much greater need for inbound fax support rather than outbound.  That said, so what if their stance is correct people DO want outbound fax support.  Build it.  Its just a print driver, essentially.  But do NOT build a product that you tout as Unified Messaging and have inbound fax support in version 1 and then drop that support in version 2.  Version 2 is now not UM, its less-than-UM.

    We currently use Cisco's unity voice mail system.  Can we pass the voice mail attachment that Unity sends to an email recipient through the voice to text conversion in 2010?

    I'm with Began. Assuming they actually were looking at stats, they didnt take into account that people who had 3rd party solution probably only had them because they were still on exc 2003 or were still under contract with them after upgrading.  I agree that fax should be dying... but tell that to all the people that fax us.  We need an inbound solution.  Since all our business cards are printed with "phone/fax:" we can take it away and don't see any advantage in moving to a solution with more moving parts.  So much for Exchange 2010 <UM.
