Here are the steps you may refer to:
- Create a Shared Mailbox:
- Ensure the email address (e.g., occ@itbuilders.com.sa) is set up as a shared mailbox in your Exchange environment.
- Configure Outlook Profile via Group Policy:
- Open the Group Policy Management Console (GPMC) on your domain controller.
- Create a new Group Policy Object (GPO) or edit an existing one.
- Navigate to User Configuration > Policies > Administrative Templates > Microsoft Outlook > Account Settings > Exchange.
- Enable the policy Automatically configure profile based on Active Directory Primary SMTP address.
- Set Up the Shared Mailbox in Outlook:
- In the same GPO, go to User Configuration > Preferences > Control Panel Settings > Mail.
- Create a new Mail Profile and configure it to include the shared mailbox (occ@itbuilders.com.sa).
- Ensure the profile is set to be the default profile for all users.
- Deploy the GPO:
- Link the GPO to the appropriate Organizational Unit (OU) that contains the user accounts for John and Sara.
- Ensure the GPO is applied to the devices they use.
- Test the Configuration:
- Have John and Sara log in to their respective accounts on the device.
- Open Outlook to verify that the shared mailbox (occ@itbuilders.com.sa) is automatically configured and accessible.
This setup ensures that whenever John or Sara logs into any device within the domain, the specified email address will be automatically configured in Outlook.
