Hello

We have multiple domain, and I'm using Outlook with the profiles, which is a nice feature.

So I have g@dom1.com, gb@dom2.com and gb@dom3.com, I've set all 3 email up in my user as aliases.

In outlook I have one profil by domain, but I receive the mails in every profil, even tough that in profil 3 I only checked gb@dom3.com...

is this normal?
Is aliases the way to manage multiple domain adresses? Or do I have to work with shrared mailboxes?

Regards

    Hi @Gilles Becker ,

Welcome to the Microsoft Q&A platform!

Based on your description, you are a little confused about the way Outlook handles aliases and profiles. Let me explain first:

    1. When you set up multiple email addresses as aliases under one user account, all emails sent to these aliases will be sent to the same inbox. That's why you see emails from all domains in each profile.
    2. Outlook profiles are designed to distinguish different email accounts, but if you set up emails as aliases under one account, they will still be sent to the same inbox.
    3. If you want to keep emails from different domains completely separate, using a shared mailbox may be a better solution. A shared mailbox allows you to set up a different inbox for each email address, and you can access them separately in Outlook.

You can set it up as suggested below:

    1. Instead of using aliases, set up each email address as a separate account in Outlook. In this way, each profile will only show emails from a specific domain.
    2. Shared mailboxes are useful if you need multiple people to access the same email address. They keep emails organized and separated by domain.

Please feel free to contact me for any updates. And if this helps, don't forget to mark it as an answer.

    Best,

    Jake Zhang

If you have configured multiple aliases on the same user/mailbox, there is no need to add multiple profiles in Outlook - you still have a single mailbox. If you want to store messages addressed to each alias in a separate mailbox, then go with shared mailboxes instead.

If you have configured this in order to be able to send from multiple aliases, the "send from email alias" feature might be a good alternative. However, it requires that your mailbox is hosted in Exchange Online. Details are here: https://techcommunity.microsoft.com/blog/exchange/sending-from-email-aliases-%E2%80%93-public-preview/3070501

Thank you for your replies, very helpful

So I will go forward to use shared mailboxes, I guess.

    Just wondering:

    1. Vasil suggested to create different accounts for different domains. But these accounts will need a license to be able to get e Mailbox, wan't they?
    2. If I setup a shared mailbox peter@dom1.com, I can't create a 2nd shared email with peter@dom2.com, or am I missing something? Is there a workaround? Like steve.jobs@apple.com and steve.jobs@next.com would not work on the some exchange account right?

    Regards
